This policy is to define a process and develop procedures on how the department will administer refunds requested from park users.
1) Park staff shall accept refund requests from Park users in writing, online, via phone, email, or in person.
2) If cancellations have not been received by staff 2 days prior to the arrival date, No refund will be issued to Park user.
3) Refund must be based on the original method of payment whenever possible (not possible to apply to credit/debit card if more than 14 days has passed since original transaction)
4) When a refund request is received Staff complete Refund Form and send through administrative processes, email supervisor and / or Lori Stansbury.** Staff must offer the following refund options:
a. Debit or Credit Card RefundPark retains $10.00 - Reservation fee
Park retains $5.00 - Administrative fee(ex) 2-nights camping reservation
Reservation fee $10.00 2 nights camping $40.00 Total $50.00 Park retains - $15.00 Refund to User $35.00 by debiting Credit/Debit Card
b. Cash/Check Refund - Inform Park user that it may take 3-4 weeks before refund is received in the mailParks retains $10.00 - Reservation fee
Parks retains an additional $15 - Administrative fee(ex) 2-nights camping reservation
Reservation fee $10.00 2 nights camping $40.00 Total $50.00 Park retains - $25.00 Refund to User $25.00
c. Online Customer Reservation Refund. If park user made reservation online, they can request a cancellation online and get all monies back minus the $10 reservation fee(s) and annual park pass cost, if purchased.
d. Annual Park Pass and Reservation Purchase - refund request. If park user received an annual pass, we cannot refund the annual pass fee. [you should know if they received the pass by looking at the comments field in the reservation](ex) 2 nights camping reservation paid by credit/debit card with annual pass purchase:
Reservation fee $10.00 Annual pass $28.00 2 nights camping $40.00 Total $78.00
Park retains $28 annual pass fee + $10 reservation fee + $5.00 administration fee = $43.00
Refund to camper $35.00(ex) 2 nights camping reservation paid by cash/check with annual pass purchase:
Reservation fee $10.00 Annual Pass $28.00 2 nights camping $40.00 Total $78.00
Park retains $28 annual pass fee + $10 reservation fee + $15.00 administration fee = $53.00
Refund to camper $25.00
